Essential Duties and Responsibilities

Maintain accounts payable and accounts receivable functions by processing, receiving and reconciling invoices according to established policies and procedures. Provide administrative and clerical support to the Finance department.

Accounts Payable. Knowledge of general accounting principles. Ability to operate computerized accounting and spreadsheet programs. Ability to use a 10-key calculator. Ability to accurately prepare and maintain records, files, and reports. Excellent data entry skills.

Core Business Skills. Ability to exercise sound judgement and discretion in handling of proprietary and confidential information. Ability to work independently, without significant direction and to use resources effectively to “figure it out”. Strong critical thinking skills, judgment and keen attention to detail and accuracy. Qualifications

Must Haves:  Associates Degree in Accounting, plus two years of related experience; or equivalent combination of education and experience.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  1. Perform the Accounts Payable functions; review all invoices, ensure/obtain proper signatures and approvals on check requests/invoices. Clarify any questionable invoice items and/or prices. Process invoice for payment. Maintain all accounts payable reports, spreadsheets and corporate accounts payable files. Maintain vendor records; enter new or update vendor names, addresses, payment terms and 1099 flags. Answer all vendor inquiries as quickly as feasible. Protect organization’s value by keeping information confidential. Provide accurate and effective documentation preparation and records management relative to the AP function in accordance with policies and procedures.
  2. Process daily cash which includes applying payments received to A/R invoices and bank adjustments.
  3. Perform reconciliations, including 401(k) and credit card transactions and create journal entries.
  4. Provide administrative and clerical support to the Finance department, including assisting with mail merges and large mailings.
  5. Serve as back-up for receptionist duties, including: greeting guests, answering phones, routing calls, and taking messages.
  6. Maintain regular, consistent, reliable, punctual and predictable attendance, as required to achieve internal and external customer satisfaction.
